Receptionist and Office Coordinator

Position overview
We have 1 permanent, full-time and opportunity for a Receptionist and Office Coordinator at YVR Link Office.
Reporting to the Manager, CEO Office l Executive Assistant to the President and CEO, this role is an integral part of the Executive Administration team, responsible for presenting a professional, welcoming and knowledgeable first contact to Board of Directors, guests, tenants, vendors and staff. The successful candidate will undertake responsibility for the smooth operation and appearance of corporate reception and general office functionality, while partnering with other internal departments from time to time on special initiatives. This role is performed 100% in office.
Key responsibilities include:
- Present professional and welcoming first contact to guests, tenants, vendors and staff in person and on the phone.
- Receive and dispatch couriers, distribute mail that are marked appropriately, as well as receive tender documents ensuring deadlines are met.
- Provide office coordination support to management when required which may include support with office moves/relocation.
- Assist with typing, document distribution, database entry including drafting office protocol when necessary.
- Aide staff in booking meeting rooms, coordinating contracts, logistics, monthly billings as well as coordinate catering pick-up if necessary.
- Ensure office equipment is well maintained on a daily basis, report any problems and follow-up on repairs.
Key qualifications include:
- Completion of a high school diploma or equivalent to about 12 years of schooling, with at least 2 years of recent, related administrative experience, or an equivalent combination of training and experience.
- Recent, related receptionist and office administrative experience.
- Excellent working knowledge of MS Office (including Excel and Word).
- Strong attention to detail as well as organizational skills in order to multitask and work under pressure.
- Solid people skills, a customer service mindset with the ability to work within a team.
- Strong work ethic, professional and reliable, with a passion for what you do.
Although not required, French language skills are an asset as we are committed to providing bilingual services to our visitors and passengers. This helps us meet federal language obligations while ensuring welcoming experience. Candidates who do not speak French are still strongly encouraged to apply.
This position is open to Vancouver Airport Authority employees and external applicants. Previous job performance will be taken into consideration for all internal candidates that apply for this position.

Salary Range : $50,022 to $65,378 per annum, based on 37.5-hour work week. This is individually tailored to reflect your unique experience, qualifications and internal equity.
